
“Where are you?”, “Are you open on Saturday?” and “Can I book this week?” can arrive in separate conversations. An organised reception team needs consistent replies and a clear distinction between a request and a confirmed appointment.
This guide focuses on administrative coordination. It proposes messages and labels for handling enquiries; it does not replace a dental assessment or describe an automatic booking system.
Define what each tool does
The WhatsApp Business app includes a business profile, quick replies, labels, and greeting or away messages. Quick replies reuse text the team selects; labels organise conversations. See the features in the official WhatsApp Business documentation and check which are available in your account.
In this proposed workflow, your team checks its calendar and confirms each appointment. An away message does not check open slots, book a time or send personalised reminders. Those integrations need their own agreed scope and testing.

Prepare five reception replies
These are editable examples. Replace every field in brackets and check the wording before saving them. Do not leave sample names, dates or links in messages sent to patients.
- /location: “We are at [address, location and city]. Find directions here: [link]. Our opening hours are [verified hours].”
- /request: “We can check availability. Which day or time would you prefer? Let us know if you need a particular location. Your appointment is confirmed once we agree a date and time.”
- /assessment: “We can share the price and conditions of the consultation offered by the practice. The professional defines the treatment and its quote after an assessment.”
- /confirmation: “Your appointment is confirmed for [date and time] at [location], under [name]. Please message us here if you need to change it.” Send only after checking and recording the appointment.
- /change: “We can review a change. Tell us your preferred day or time; we will confirm the new date after checking availability.”
Do not answer a price question with a long greeting that leaves it unanswered. When a consultation price has been approved, explain the amount and what it covers. When treatment pricing requires an assessment, explain that next step.

Use a few stages and assign a responsible person
Try four labels: new request, waiting for reply, awaiting confirmation and appointment confirmed. Define each one. “Awaiting confirmation” should identify who has the next action: reception or the interested person.
If several people answer messages, agree how a conversation is handed over at shift changes. A label does not replace an appointment record or prevent two people from offering the same time slot.

Separate coordination from clinical care
For coordination, start with the name, location and preferred time. Avoid requesting clinical histories or photographs through a commercial contact form. The professional should define the appropriate channel and handling of information needed for care.
When someone asks about symptoms or treatment, reception refers the question to the responsible professional and follows the practice protocol. A saved reply should not become a diagnosis or promise a treatment outcome.
Check the routine for a week
Review requests received, conversations with a next action, confirmed appointments and unanswered enquiries. These are different facts. Copied text does not prove a message was sent; an enquiry does not prove a booking; a booking does not prove attendance.
