Start with a defined task and a reliable process. Automation is useful when it reduces work without creating errors or leaving customers without help.
Ask three questions first
Is the task repetitive? How often does it occur, and how much time or risk is involved? Is the approved information written down? Compare implementation, supervision and maintenance costs with the actual need. An infrequent task can still matter if it is critical.
Choose a small first use
Possible starting points include approved answers about hours or coverage, collecting information for an enquiry, and reminders for appointments that are already confirmed. Booking or order updates require dependable data and the appropriate integration. A saved reply is not the same thing as an autonomous assistant.
Prepare the information
Keep services, hours, prices, coverage and conditions in a source the team can review. Record who maintains each changing detail and when it was checked. State what the assistant cannot promise, including unconfirmed availability, discounts or delivery dates.
Test real questions, incomplete requests and questions whose answers are absent. The expected response to missing information is to acknowledge the limit and ask for help, not invent an answer.
Define the handover to a person
Provide a route to a person when requested, when information conflicts or when a complaint needs attention. Assign an owner and pass along a short summary so the customer does not have to start again. Explain the actual response arrangements outside working hours.
Keep professional judgment, sensitive assessments and exceptions with the responsible person. Do not show an appointment as confirmed before the relevant calendar or team has confirmed it.
Distinguish WhatsApp products
Organising the WhatsApp Business app's profile, labels and saved replies is different from integrating the Business Platform with another system. Obtain the appropriate permission before sending messages and respect requests to stop.
The Platform has rules for customer-service windows, approved templates and access to human support. Check the current WhatsApp Business Messaging Policy and the specific integration before implementing a flow.
Measure the work resolved
Before a pilot, record enquiry volume, staff time and unresolved cases. Afterwards compare similar periods, including corrections, handovers and review time. Read a sample of conversations; a high reply count alone does not demonstrate success.
Agree on a stop condition and a manual fallback. If the system creates incorrect bookings or more checking work, adjust it before expanding.
Ask for a complete quote
Separate setup, platform subscriptions, usage charges, support and maintenance. Write down the task, systems connected, account ownership, acceptance tests and handover. The basic Your Web Crafter WhatsApp service does not include AI, API integration or a synchronised calendar. Those require a separate diagnosis and quote; your team confirms appointments.
