

«¿Dónde quedan?», «¿Atienden el sábado?» y «¿Tienen cita esta semana?» pueden llegar en conversaciones diferentes. Una recepción organizada necesita responder de forma consistente y distinguir una solicitud de una cita confirmada.
Esta guía se concentra en coordinación administrativa. Propone textos y etiquetas para que el equipo atienda mejor las consultas; no sustituye una valoración odontológica ni describe una agenda automática.
Define qué hace cada herramienta
La aplicación WhatsApp Business incluye perfil comercial, respuestas rápidas, etiquetas y mensajes de saludo o ausencia. Las respuestas rápidas reutilizan texto que el equipo selecciona; las etiquetas organizan conversaciones. Puedes consultar las funciones en la documentación oficial de WhatsApp Business. Revisa cuáles están disponibles en tu cuenta.
Para este flujo, el equipo consulta su agenda y confirma cada cita. Preparar un mensaje de ausencia no comprueba horarios libres, reserva un espacio ni envía recordatorios personalizados. Una integración de ese tipo requiere un alcance y pruebas propios.

Prepara cinco respuestas de recepción
Estos textos son ejemplos editables. Sustituye todos los campos entre corchetes y prueba su lectura antes de guardarlos. No los dejes con nombres, fechas o enlaces de muestra.
- /ubicacion: «Estamos en [dirección, sede y ciudad]. Aquí puedes ver cómo llegar: [enlace]. Nuestro horario de atención es [horario confirmado]».
- /solicitud: «Con gusto revisamos disponibilidad. ¿Qué día o franja prefieres? Si necesitas una sede específica, cuéntanos cuál. La cita queda confirmada cuando acordemos fecha y hora».
- /valoracion: «Te podemos informar el valor y las condiciones de la consulta que ofrece el consultorio. El tratamiento y su presupuesto los define el profesional después de la valoración».
- /confirmacion: «Tu cita quedó confirmada para [fecha y hora] en [sede], a nombre de [nombre]. Si necesitas cambiarla, escríbenos por este medio». Enviar solo después de verificar la agenda.
- /cambio: «Podemos revisar el cambio. Dinos qué día o franja prefieres; te confirmamos la nueva fecha después de consultar disponibilidad».
Evita responder una pregunta de precio con un saludo largo que no resuelve nada. Si el valor de una consulta está aprobado, informa ese valor y qué incluye; si el presupuesto depende de valoración, explica el siguiente paso.

Usa pocas etapas y un responsable
Prueba cuatro etiquetas: nueva solicitud, esperando respuesta, pendiente de confirmar y cita confirmada. Define qué significa cada una. «Pendiente de confirmar» debe decir quién tiene la próxima acción: recepción o la persona interesada.
Si responden varias personas, acuerden cómo se entregan una conversación al cambiar de turno. Una etiqueta no reemplaza el registro de la cita ni evita por sí sola que dos personas ofrezcan el mismo horario.

Separa coordinación y atención clínica
Para coordinar, empieza por nombre, sede y preferencia de horario. Evita solicitar historias clínicas o fotografías por el formulario comercial. El profesional debe definir el canal y el manejo de la información que necesita para atender.
Si llega una pregunta sobre síntomas o tratamiento, recepción deriva la consulta al responsable y sigue el protocolo del consultorio. No convierte una respuesta predeterminada en diagnóstico ni promete un resultado de tratamiento.
Comprueba la rutina durante una semana
Revisa solicitudes recibidas, conversaciones con próxima acción, citas confirmadas y casos que quedaron sin respuesta. Son hechos distintos. Un mensaje copiado no acredita envío; una consulta no demuestra reserva; una reserva tampoco demuestra asistencia.

Define what each tool does

In this proposed workflow, your team checks its calendar and confirms each appointment. An away message does not check open slots, book a time or send personalised reminders. Those integrations need their own agreed scope and testing.

Prepare five reception replies
These are editable examples. Replace every field in brackets and check the wording before saving them. Do not leave sample names, dates or links in messages sent to patients.
- /location: “We are at [address, location and city]. Find directions here: [link]. Our opening hours are [verified hours].”
- /request: “We can check availability. Which day or time would you prefer? Let us know if you need a particular location. Your appointment is confirmed once we agree a date and time.”
- /assessment: “We can share the price and conditions of the consultation offered by the practice. The professional defines the treatment and its quote after an assessment.”
- /confirmation: “Your appointment is confirmed for [date and time] at [location], under [name]. Please message us here if you need to change it.” Send only after checking and recording the appointment.
- /change: “We can review a change. Tell us your preferred day or time; we will confirm the new date after checking availability.”
Do not answer a price question with a long greeting that leaves it unanswered. When a consultation price has been approved, explain the amount and what it covers. When treatment pricing requires an assessment, explain that next step.

Use a few stages and assign a responsible person
Try four labels: new request, waiting for reply, awaiting confirmation and appointment confirmed. Define each one. “Awaiting confirmation” should identify who has the next action: reception or the interested person.
If several people answer messages, agree how a conversation is handed over at shift changes. A label does not replace an appointment record or prevent two people from offering the same time slot.

Separate coordination from clinical care
For coordination, start with the name, location and preferred time. Avoid requesting clinical histories or photographs through a commercial contact form. The professional should define the appropriate channel and handling of information needed for care.
When someone asks about symptoms or treatment, reception refers the question to the responsible professional and follows the practice protocol. A saved reply should not become a diagnosis or promise a treatment outcome.
Check the routine for a week
Review requests received, conversations with a next action, confirmed appointments and unanswered enquiries. These are different facts. Copied text does not prove a message was sent; an enquiry does not prove a booking; a booking does not prove attendance.
